Follow up without losing the thread

Every lead needs an outcome and a next step. Useful stages include new, researching, permission to follow up, appointment, offer, under contract, closed, and archived. Keep an active-deal workspace separate from bulk research lists so imports do not obscure the properties you are actually pursuing.

Record the seller’s timing and communication preference. Follow up when there is a legitimate reason: a requested update, an unanswered property question, or the date the seller asked you to reconnect. Repeating pressure is not a strategy.

Deduplicate by normalized address and, where available, parcel identifier. Track shared ownership and contact records too. Keep a record of prior outreach and exports rather than assuming a platform filter is working perfectly. Review stale leads regularly and archive those without a justified next action.

Worked example · Hypothetical

The same property appears in an auction list and a data-service export. One property record with both sources prevents two callers from contacting the same owner independently.
